This Privacy Policy explains how Shopsoft (“we,” “us,” or “our”) collects, uses, and shares personal information when you visit shopsoft.ca (the “Site”) or purchase a product from us. Shopsoft is operated as a sole proprietorship based in Canada.

We are committed to protecting your privacy and complying with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. Information we collect

We only collect the personal information we need to run our shop and fulfill your orders. That includes:

Information you give us when you place an order

  • Full name
  • Email address
  • Shipping address and billing address
  • Phone number (if required by the shipping carrier)
  • Order details (items purchased, sizes, customization choices)

Payment information

Payments are processed by our payment provider. We do not see or store your full credit card number, CVV, or bank details. We only receive a confirmation that your payment succeeded and the last four digits of the card for our records.

Information you give us when you contact us

Your name, email address, and the content of your message when you email us or use a contact form.

Information collected automatically when you visit the Site

Standard server logs that your browser sends automatically, such as your IP address, browser type, device type, referring page, and the pages you visit. This information is used to keep the Site running and secure. We do not currently use third-party analytics, advertising pixels, or tracking cookies.

2. How we use your information

We use your personal information to:

  • Process and fulfill your orders, including sending order confirmations, shipping notifications, and delivery updates
  • Respond to your questions and provide customer support
  • Keep records required for tax, accounting, and consumer protection purposes
  • Protect the Site from fraud, abuse, and security threats
  • Comply with our legal obligations

We do not sell your personal information. We do not use your personal information for marketing unless you have separately and expressly opted in.

3. Who we share your information with

We share only the information necessary with the following categories of third parties:

  • Printify, Inc. — our fulfillment partner. When you place an order, we share your name, shipping address, and order details with Printify so they can print and ship your product. Printify’s privacy practices are described at printify.com/legal/privacy-policy.
  • Shipping carriers (such as Canada Post, USPS, UPS, DHL) — so they can deliver your order.
  • Payment processor — to authorize and settle your payment.
  • Our website platform provider — for hosting the Site itself.
  • Professional advisors and authorities — we may disclose information if required by law, court order, or to protect our legal rights.

We do not share your personal information with third parties for their own marketing purposes.

4. Where your information is stored

Your information may be stored and processed outside of Canada, including in the United States, where some of our service providers (including Printify) operate. When we use providers outside Canada, we take reasonable steps to ensure your information is protected to a standard comparable to Canadian law. By using the Site or placing an order, you consent to this cross-border transfer.

5. How long we keep your information

We keep your personal information only for as long as we need it:

  • Order and transaction records: at least 6 years after the transaction, to comply with Canadian tax and accounting requirements.
  • Customer support emails: up to 2 years after your last contact.
  • Server logs: typically up to 90 days.

When we no longer need your information, we delete it or anonymize it.

6. Cookies

shopsoft.ca uses only essential cookies needed to keep the Site working (for example, to remember what’s in your cart during a checkout session). We do not currently use advertising cookies, analytics cookies, or third-party tracking cookies. If this changes in the future, we will update this policy and, where required, ask for your consent.

7. Your rights

Under PIPEDA and applicable provincial laws, you have the right to:

  • Access — request a copy of the personal information we hold about you
  • Correction — ask us to correct information that is inaccurate or incomplete
  • Withdraw consent — withdraw your consent to our use of your information, subject to legal or contractual restrictions
  • Complain — file a complaint with us, and if unresolved, with the Office of the Privacy Commissioner of Canada

8. Marketing communications

We do not send marketing emails unless you have expressly opted in (for example, by subscribing to a newsletter through the Site). If you ever receive marketing emails from us, every message will include a clear unsubscribe link, as required by Canada’s Anti-Spam Legislation (CASL).

9. Security

We use reasonable physical, technical, and organizational safeguards to protect your personal information, including encryption in transit (HTTPS) and access controls on our systems. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices.

10. Children

The Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Links to third-party sites

The Site may contain links to third-party websites (for example, our social media pages). This Privacy Policy does not apply to those sites. Please review the privacy policies of any third-party sites you visit.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will change the “Effective date” at the top of this page. If the changes are significant, we will provide a more prominent notice on the Site. Your continued use of the Site after the effective date of an update means you accept the updated policy.
